Terms of Service

Simple terms for using Receipt Scanner.

These Terms explain the rules for using Receipt Scanner, including accounts, subscriptions, receipt processing, Google Sheets and AI-assisted recognition.

1. Acceptance of these Terms

By creating an account, accessing Receipt Scanner or using the service, you agree to these Terms of Service. If you use Receipt Scanner for a company, production or other organization, you confirm that you are authorized to use the service on its behalf.

2. The service

Receipt Scanner helps users capture receipts, extract receipt information, organize production expenses, manage project cash flow, connect optional Google Sheets workflows and generate reports. Features may change as the product is improved.

3. Accounts and access

You are responsible for keeping access to your sign-in account secure and for activity performed through your Receipt Scanner account. Workspace and project permissions control what team members can see and do. Do not share access in a way that bypasses those permissions.

4. Trials, subscriptions and billing

Receipt Scanner may offer a free trial. The current trial period, limits and paid price are shown in the application or checkout flow. A trial does not become a paid subscription unless you choose to subscribe. Paid subscriptions are processed by Stripe and continue according to the billing terms shown at checkout until canceled. Cancellation stops future renewals but does not normally refund time already paid for, except where required by law.

5. Your receipts and project data

You keep ownership of receipt images, project information and other content you provide. You give Receipt Scanner a limited permission to store, process, transform and transmit that content only as needed to provide the service and the features you choose to use.

6. AI-assisted receipt recognition

AI recognition is an assistance feature and can make mistakes. You are responsible for reviewing vendor names, dates, taxes, tips, totals, accounting lines and other extracted information before relying on it for accounting, reimbursement, tax or production records. Receipt Scanner is not accounting, tax or legal advice.

7. Google Sheets integration

Google Sheets access is optional. When you connect it, Receipt Scanner may read or write spreadsheet data as required for the workflow you request. You are responsible for selecting the correct spreadsheet and ensuring that you have permission to use it. You can stop using the integration from Receipt Scanner project settings or revoke access through your Google account.

8. Acceptable use

You may not use Receipt Scanner to break the law, access another person's data without permission, interfere with the service, bypass security or usage controls, distribute malware, probe the service for unauthorized access, or upload content that you do not have the right to process.

9. Third-party services

Receipt Scanner relies on third-party services including Google, Supabase, Stripe, Postmark and Vercel. Their services may have separate terms and availability. Receipt Scanner is not responsible for outages or changes caused solely by third-party providers, although we will work to restore affected functionality where practical.

10. Availability and changes

We aim to keep Receipt Scanner available and reliable, but uninterrupted service is not guaranteed. We may modify, suspend or discontinue features when necessary for security, compliance, maintenance or product development.

11. Suspension and termination

You may stop using Receipt Scanner at any time and can delete your account through the application. We may restrict or suspend access when reasonably necessary to protect the service, enforce these Terms, address fraud or abuse, comply with law, or respond to unpaid subscription status.

12. Disclaimers and responsibility

Receipt Scanner is provided on an "as available" basis to the extent permitted by law. You remain responsible for your underlying accounting records, backups, tax filings, reimbursements and business decisions. To the extent permitted by law, Receipt Scanner is not liable for indirect, incidental or consequential losses arising from use of the service.

13. Privacy

Our handling of personal information and project data is described in the Privacy & Security page. That page forms part of the information provided with these Terms.

14. Changes to these Terms

We may update these Terms as the service changes. If an update materially affects your rights or obligations, we will provide reasonable notice through the service or another appropriate channel. Continued use after an update takes effect means you accept the revised Terms.

15. Governing law

These Terms are governed by the laws applicable in Ontario, Canada, without limiting any mandatory consumer protections that may apply to you.
